# Create races and their runs

> Add the races of your event with their price, their runs, teams or relays, and the documents competitors must provide before race day.

You create races in the dashboard, under **Races**, with the + button at the bottom right. Each race has a type, a price and at least one run (date, time, distance). You also set teams and required documents there.

## Race and run: the vocabulary

- A race is what the competitor registers for, for example "Canicross 5 km". It has a type, a federation and a price.
- A run is one leg of the race, with its own date and time. As the app puts it, "A race can have several tests. For example if your race takes place on two days with a cumulative podium then it is a race with two events." In other words, a two-day race with a combined podium is one race with two runs.

## Add a race

1. Open the event dashboard.
2. Under **Event Configuration**, tap **Races**.
3. Tap the + button at the bottom right.
4. Fill in the **General**, **Price**, **Runs** and **Team** tabs and, if the race involves dogs, **Others**.
5. Tap the save button at the bottom right.

To edit a race, tap it in the list. To create a similar one, tap **Duplicate** on its row: you are taken to the copy.

## General tab

| Field | Purpose |
| --- | --- |
| **Federation** | Federation of the race. You can mix several federations in one event. Required. |
| **Type** | The type of race. It sets the categories and the minimum age of dogs. Required. |
| **Name** | Shown at registration and in communications. |
| **Taking into account in the global limit of the inscriptions** | Shown if the event has a limited number of places. Untick it so this race does not count (for example a kids' race). |
| **Limit registration number** and **Number of slots** | Limit specific to this race. |

### Licence and medical certificate

| Setting | Effect |
| --- | --- |
| **Only licensees of the following federations can register?** | Only holders of a valid licence from one of the **Authorized federations** can register. A medical certificate is then never requested. On by default for races with two or more dogs. |
| **Medical certificate required for non-licensed competitors?** | Competitors without a licence must provide a medical certificate. |
| **Do not request a medical certificate from licensees of the following federations** | Exempts licence holders of the chosen federations. |
| **Do not request the medical certificate from the following countries** | Exempts residents of the chosen countries. They can then register without a licence or a certificate. |

## Price tab

You must set a price, which can be €0.

1. Enter the **Price**.
2. For a discount on multiple entries, turn on **The price is different for a second registration** and enter the **Price second registration**. Do the same for the 3rd and 4th entry.

The reduced price applies when the same competitor enters several races. For example canicross + canicross bike: they pay the first price for the canicross and the second price for the bike race.

### Supplement for unlicensed entrants (day licence)

Under **Supplement if unlicensed (daily license)**:

1. Turn on **Supplement if unlicensed**.
2. Enter the **Supplement** amount. It is added to the entry price.
3. Under **List below the federations for which the ATP will not be billed, the others will be billed**, choose the exempt federations.

This supplement usually covers the day insurance of entrants without a licence.

## Runs tab

A race has at least one run. For each run:

- **Start** and **End**: approximate times;
- **Length (meters)**: shown to the competitor and used to compute the average speed in the results;
- **Description**: mass start, difficulties…

Tap **Add a run** for an extra leg, or **Delete the run** under a run to remove it.

## Team tab: relays and crews

An entry is always linked to one person. For a relay or a team race:

1. Turn on **Involve additional people in the registration?**.
2. If needed, turn on **Use a team name?**. The team name appears on entries and results.
3. Tap **Add extra person**.
4. Enter their **Label (second runner, bike ...)**.
5. For a race with dogs, enter their **Number of dogs** and **Number of dogs required**.

## Others tab: dogs and documents

This tab appears for races with dogs.

| Setting | Effect |
| --- | --- |
| **Do not ask for any documents or vaccination proof for the dog?** | No proof of identification or vaccination is requested for the dog. |
| **Number of dogs required** | Minimum number of dogs to declare. |
| **Maximum number of dogs** | Maximum number of dogs to declare. |
| **Minimum age in months for dogs** | Minimum age of entered dogs. |

## Delete a race

1. Open the race, **Others** tab (available for races with dogs).
2. At the bottom of the tab, tap **Delete test**, then confirm with **Yes**.

> **NOTE**
In the **Runs** tab, the **Delete the run** button under a run only removes that run, not the race.

## Common issues

- **"You cannot delete the test because there are registrants."**: a race that has entrants cannot be deleted.
- **"Unable to save"**: the **Federation** or the **Type** is missing.
- **Date warning on the dashboard**: a run is dated before the event. Fix **Start** and **End** in the **Runs** tab.
