# Validate entrants' documents

> Check, then validate or refuse the licences, medical certificates and dog passports uploaded by the entrants of your race, with a reason.

You check the documents uploaded by entrants in the dashboard, under **Validate documents**. For each race, you open each licence, medical certificate or passport, then tap **Validate** or **Refused**. If you refuse a document, the competitor receives an email with your explanation.

## Open document validation

1. Open the event dashboard.
2. Under **Management**, tap **Validate documents**.
3. At the top of the page, tap the race selector and choose the race to process. The number in brackets in front of each race shows the documents waiting.

## The tabs

| Tab | Content |
| --- | --- |
| **Licences** | The licences declared by entrants. |
| **Med. cert.** | Medical certificates, health questionnaires and prevention courses. |
| **Ø doc.** | Entrants who provided "No license and no medical certificate.", with their email address. |
| **Passports** | The dogs' documents: vaccinations, identification, or dog health sheet. |

The number in brackets on each tab shows the documents waiting.

In the lists, the colour shows the status: green for validated, red for refused, orange for waiting. Two labels can appear:

- **Validated by Canicompet**: the document has already been validated by Canicompet;
- **Registration not paid**: the entry is not paid yet.

## Validate or refuse a document

1. Tap an entrant in the list.
2. Look at the document shown. For a licence, the federation name and the licence number appear at the top.
3. Tap **Validate** if the document is valid.
4. Otherwise, tap **Refused**, then fill in **Explain the reason to the person** (for example: "The document is blurry, expired...").
5. Tap **Send**.

The competitor receives an email with your explanation. They can then upload a new document.

To undo a decision, open the document and tap **Reset**: it goes back to waiting.

> **NOTE**
If the competitor has not uploaded anything, the window shows "No file posted online by the competitor.". For a health questionnaire, it shows the statements ticked by the competitor instead of a file.

## Validate dog passports

1. Open the **Passports** tab.
2. Tap an entrant. If they have several dogs, choose the dog at the top of the window.
3. Go through the dog's documents. Each document tab is green if valid, red otherwise. Missing items are listed at the top.
4. Tap **Validate**, **Refused** or **Reset**.

The **History** button shows the validations, refusals and changes made to the passport.

For races with several dogs where you allowed the dog health sheet, the entrant appears with the label **Dog health sheet**: you then validate the team's sheet instead of each dog's documents.

If you turned off supporting documents for dogs, the tab says: "You do not ask for any supporting documents for dogs, so you have no documents to validate."

## Follow up with entrants missing documents

Use the **Ø doc.** tab to find entrants with no licence and no certificate. To remind them all at once, create an email targeted at **No license / medical cert** or **Medical certificate missing**. See [Email your entrants](/en/docs/organizer/emailing/).

## Good practice

- Validate documents as they come in, and in any case before you download the list of entrants for race day.
- Give a precise reason when you refuse: the competitor must know what to fix.
- Check vaccination expiry dates against the race date.

## Common issues

- **The document cannot be read**: refuse it and ask for a sharp, complete photo.
- **A "Documents migrated" message appears**: this dog's documents come from the old version of the site and are not sorted correctly. The photos may not match the vaccinations: check them manually.
- **"Forbidden access"**: only the event's organizers can validate documents.
